Bookings, fees, cancellations

Top
  1.  All tickets are subject to availability and acceptance by the Organiser, which will be confirmed via e-mail upon receipt of the completed order form and the related Fee if required.
  2. The Fees do not include travel to or from the Event or any accommodation costs incurred.
  3. If you notify us that you wish to cancel your attendance at an Event for which a Fee is payable, then cancellation charges shall apply as follows: 
    - If the ticket cancellation is requested 30 days or more prior to the first day of the event, the participant is eligible for a 100% refund.
    - If the ticket cancellation is requested 15-29 days prior to the first day of the event, the participant is eligible for a 50% refund.
    - If the ticket cancellation is requested less than 15 days prior to the first day of the event, the participant is not eligible for a refund.
    - In all cases, a ticket can be transferred to a future THE event. If the ticket price of the Event that the ticket is being transferred to is lower, a refund of the difference will be issued.
  4. Notice of cancellation must be given by emailing events@timeshighereducation.com. Please note that refunds may take up to 14 working days.
  5. In the event that the Organiser postpones an event, delegate payments at the postponement date will be credited towards the rescheduled event date. In the event that the delegate is unable to attend the rescheduled event, the delegate is eligible for a 100% refund or can transfer their ticket to a future THE event.
  6. The Organiser is not responsible for any loss or damage as a result of substitution, alteration or cancellation/postponement of an event (including, but not limited to, travel and accommodation costs).
  7. Please note that speakers and topics are confirmed at the time of publishing, however, circumstances beyond the control of the Organiser may require substitutions, alterations or cancellations of the speakers and/or topics. As such, the Organiser reserves the right to alter or modify the advertised speakers and/or topics.

Your attendance

  1. The Organiser reserves the right, without any liability, to refuse You admission or eject You from the Event for failure to comply with these Terms; or if in the Organisers opinion You represent a security risk, nuisance or annoyance to the running of the Event.
  2. You acknowledge that official photographers and film crews will be taking photographs and recording at the Event. You agree to permit the Organiser, or any third party licensed by the Organiser, to use and distribute such photography and footage, which may feature images of You for archival, editorial and promotional purposes in any and all media, without liability, compensation or credit. Please inform the photographer if You do not wish to be included in any individual or group photographs.
  3. You are permitted to make reasonable video or audio recordings and to take photographs at the Event, in each case for your own personal use. You must not make video or audio recordings of the whole (or substantially the whole) of the Event or of any session within the Event, or use any recordings or photographs for commercial purposes, unless expressly permitted by the Organiser.
  4. You are responsible for arranging your own appropriate insurance cover in connection with your attendance at the Event. The Organiser shall not be liable for any kind of loss or damage to You or your personal property, unless caused by our negligence.

Your details

  1. By submitting registration details, You agree to allow the Organiser to contact You as required for the organisation and administration of the Event.
  2. Your name, job title and organisation will be placed on the attendee list for the Event. This list will be provided to sponsoring companies and to all attendees, so that they can see who is at the Event for the purpose of networking and meetings. If You do not wish to be included on this list please email events@timeshighereducation.com.
  3. The Organiser will only contact you for marketing purposes, and will only pass on your contact details to sponsors and partners for marketing purposes, to the extent that you expressly consent to this (for example, by opting in during the registration process). The Organiser will only contact you for editorial purposes to the extent that you expressly consent to this (for example, by opting in during the registration process).

  5. The Organiser may share the information provided by You, with our employees, and sub-contractors in connection with the administration of the Event and to ensure your notified requirements (if any) are met.

1. Definitions and Interpretation
1.1 In these Terms and Conditions, unless the context otherwise requires, the following words and expressions shall have the following meanings. Less frequently used terms are defined within the body of these Terms and Conditions:

"Booking" refers to your space reservation for the Exhibition, confirmed by THE through a Confirmation.
"Content" all includes information and materials submitted by You for the Exhibition “Deposit” is the non-refundable amount specified on the Space Booking Form.
“You“, “Your(s)” means the person, firm or company named as the Exhibitor identified in the Space Booking Form;
"Exhibition" is the event hosted by THE for which you submit a Space Booking Form
“Exhibitor’s Manual” means THE’s exhibitor’s manual for the Exhibition;
“Fee” means the total sum payable by You to THE as specified in the Booking; “Information Pack” means THE’s information pack for the Exhibition;
“THE” means the entity identified in the Booking, which will be one of THE World Universities Insights Limited registered in England at 26 Red Lion Square London WC1R 4HQ United Kingdom (or their successors or assigns) as the case may be;
“Space Booking Form” means an application by You to book a space to exhibit at an Exhibition, made by You to THE in accordance with clause 2.2;
“Terms” means these terms and conditions;
“Taxes” means value added tax chargeable under your Thai law or such other applicable sales or other taxes.
1.2 In these Terms, unless the context clearly indicates another intention; (a) headings are included for convenience only; (b) references to clauses and Schedules shall be to clauses and schedules of these Terms; (c) a reference to any gender includes other genders and the singular includes the plural and vice versa; (d) references to persons include individuals, unincorporated bodies, government entities, companies and corporations; and (e) the words “include”, “including”, and “such as” are to be construed as if they were immediately followed by the words “without limitation”.

2. Basis of Contract
2.1 By submitting a Space Booking Form, You agree to be bound by these Terms exclusively.
2.2 Your Space Booking Form is an offer to attend an Exhibition, and a contract is formed upon written Confirmation by THE.
2.3 Your Space Booking Form is an offer to THE to attend an Exhibition, and a binding contract between You and THE will only be formed when written confirmation of acceptance is sent by THE to You (whether or not it is received) using the contact details provided in the Space Booking Form (“Confirmation“). You should contact THE if You have not received Confirmation within thirty (30) days of Your Space Booking Form. THE reserves the right in its sole discretion to refuse to accept a Your Space Booking Form. Your Space Booking Form and the Confirmation shall together (also referred to as the Booking) constitute a binding contract between You and THE which shall be subject to these Terms and to any rules and regulations issued from time to time by THE in relation to the Exhibition. Please note that in the case of a conflict, the Booking shall take precedence over the Space Booking Form and these Terms.
2.4 The person signing the Space Booking Form on Your behalf shall be deemed to have full authority to do so, and You shall have no right to claim against THE that such person or persons did not have such authority.
2.5 Exhibitor places at the Exhibition may be limited and will be subject to availability.
2.6 You are jointly and severally liable under these Terms with any agent appointed to make the Booking on Your behalf.

3. Fees
3.1 The Deposit is payable in full to THE's nominated bank account.
3.2 The Fee, exclusive of Taxes, is payable within 30 days of THE's invoice date.
3.3 Taxes are due at the prescribed rate as of the invoice date.
3.4 If payment of the Fee in full is not received before the Exhibition, THE may (at its sole discretion) either require such payment as a condition of Your entry to the Exhibition or refuse You entry to the Exhibition. No refunds of any proportion of the Fee paid (if any) will be made, and any balance of the Fee will remain due and payable where entry to an Exhibition is refused under this clause 3.4.
3.5 Debt recovery costs and interest on overdue invoices shall accrue on any unpaid amounts from the date when payment becomes due to the maximum extent permitted by The Late Payment of Commercial Debts (Interest) Act 1998 and Late Payment of Commercial Debt Regulations 2002 as amended, extended, consolidated or replaced from time to time or other similar laws that may be applicable.

4. Exhibition space
4.1 Upon receipt of the Fee, THE provides confirmation of space, the Information Pack, and the Exhibitor’s Manual.
4.2 THE reserves the right to change space size and location, with a refund obligation for any reduced space.

5. Exhibition hours
5.1 Exhibition hours are specified in the Information Pack.

6. Stand Construction and Dismantling
6.1 You shall be responsible for the appointment of stand contractors to design, erect, and dismantle Your stand and shall use the service contractors appointed by THE to carry out all electrical, plumbing, or other service installations and connections unless THE otherwise agrees in writing. The fees of such service contractors are set out in the Information Pack or Exhibitor’s Manual and are payable separately by You to such contractors. If You fail either to instruct such service contractors or agree other arrangements with THE, THE shall be entitled to instruct such contractors to erect a standard shell stand and You shall indemnify THE for the resulting costs.
6.2 All space-only plans and shell scheme stands that have complex interiors including:
4-meter stands (or higher) with a second story: with cross-bracing supports must be shared and approved by THE in advance of the Event.
